Job Summary

The Administrative Assistant to the Vice President of Instructional Services performs administrative functions that require a thorough knowledge of College policies, procedures, and operations and an understanding of the College’s role within the community. While there are specific duties as listed below, there are general duties which arise from the dynamics of working in the Vice President’s office such as: interacting with students, faculty, and staff, participating in meetings which involve the Vice President’s office and managing the overall functions of the office.

Required Qualifications

Associate’s Degree or equivalent (60 college credit hours)

Experience working with a senior level executive

Ability to interact effectively with appropriate tact, diplomacy and professionalism with diverse groups including students, staff, faculty, board members, community leaders and government or other regulatory agency officials

Computer literacy to include proficiency with Microsoft Office Suite

Excellent written and verbal communication skills

Detail oriented and highly organized; must be able to multitask

Effective management of time and priorities in order to meet established deadlines

Must possess a valid Texas Driver License, good driving record, and be insurable on Midland College’s insurance policy

Preferred Qualifications

Bachelor’s Degree

Experience working in an educational setting

Essential Functions

The Administrative Assistant to the Vice President of Instructional Services:

Promotes a positive image of the College by greeting and receiving visitors to administrative offices, responding to inquiries from diverse College constituents, referring inquiries or problems to the appropriate office or person, and resolving problems

Perform a wide variety of complex, responsible, and confidential administrative duties for the Vice President

Prepares correspondence to include reports for distribution or approval and signature, checking the documents for completeness and accuracy

Assists with the preparation and management of the budgets under control of the Vice President’s Office and related documents

Facilitates efficient and cost-effective official travel for the Vice President by making travel arrangements and preparing associated reports

Maintain the Vice President’s calendar, frequently establishing priorities at own discretion, ensuring that all official obligations are met

Work closely with campus organizations

Order office supplies; complete purchase requisitions for subscriptions, memberships, etc.

Be an integral team player, which involves flexibility, cooperation and communication

Performs records management of the paper and electronic filing system within the office, creating files and records as necessary using judgment and knowledge of office requirements, updating files and records, determining retention and purging schedules, and retrieving files and documents as needed

Supervise office staff

Oversee and coordinate office payroll and personnel records

Coordinate Vice President’s Instructional Council and Grant Review Committee meetings, agendas, as well as record minutes

Assist with the efficient operation of the Vice President’s Office

Liaison to Excellence Award Recognition Committee

Oversee and coordinate luncheons for the Vice President

Other duties as assigned

Physical Demands

Must be able to remain in a stationary position 50% of the time

Frequently moves equipment or paperwork weighing up to 25 pounds

Ability to work extended hours as needed

Use of manual dexterity

Repetitive use of a keyboard at a workstation

Office setting

Duties indoors and some outdoors

Attendance at Midland College or community events may be required

Travel for training, meetings, and events both in and out of town

The person in this position frequently communicates with others; must be able to exchange accurate information

The person in this position needs to occasionally move or drive from office to other locations on or off campus

Security Sensitivity

All Midland College positions are security-sensitive and subject to Texas Education Code §51.215, which authorizes the employer to obtain criminal history record information. An employment offer is contingent on completion of a satisfactory criminal background investigation.

Min Salary $3,666.67 per month
Max Salary $3,916.67 per month
Pay Statement Salary is commensurate with educational qualifications and experience.
